Acquisition Scenarios for Archiving of Paper Records

Early Acquisition

The Scenario "Early Acquisition" allows the record to be digitized before the actual entry process. The scanned record is forwarded electronically to the relevant workstation. Either by a mail supported processing or a workflow system. Later the office clerk can display the record for processing, e.g. from his in tray. The transaction belonging to that type of record is automatically started during processing. An incoming invoice, for example, has all the necessary data acquired from it and an entry is made for the record. Here the office clerk actually works only with the scanned record displayed on the screen. After the entry has been made, it remains available for all workstations connected to EASY ARCHIVE and SAP R/3 for full-text retrieval.

Simultaneous Acquisition

With "Simultaneous Acquisition" the entry (acquisition of the index terms) and the digitizing of the paper records takes place in one step. For this every office clerk responsible for entries needs a scanner at his workstation. Within this activity the scanned record is directly archived by EASY ARCHIVE in a synchronous activity and is then immediately available to the connected workstations to be retrieved and displayed again.

Late Acquisition with Barcode

Within the scenario "Late Acquisition with Barcode" the allocation of the SAP index data takes place after the digitized record using a barcode sticker on a header record. Firstly, the record is entered/posted via the respective SAP R/3 module. with the help of the relevant paper record. During the entry procedure the barcode is entered in the entry mask and administered by SAP R/3. The processed/entered original records are batch digitized after the relevant processing is finished. Using automatic barcode recognition the barcode on the header record is read in and registered with SAP R/3. SAP R/3 then allocates the just archived record to the SAP R/3 record belonging to it. After that the record is available for retrieval and display by connected workstations.

Late Acquisition without Barcode

The "Late Acquisition without Barcode" scenario also has the optical archiving of already processed records as its goal. Here the original records are processed as usual. However, the record is not allocated a barcode, rather the whole batch of records is gathered together and forwarded to a scanning workstation. There the records are digitized and assigned an already existing SAP R/3 record number from an SAP R/3 input mask.
